AI Adoption in Small Businesses Is Growing While Training Lags Behind

AI Adoption in Small Businesses Is Growing While Training Lags Behind

Two years ago, most small businesses barely touched AI. Today, it’s everywhere. Customer service teams are using chatbots, managers are leaning on predictive tools, and marketers are testing AI-generated copy.

Surveys now show that over 40% of small businesses are already using AI, and many of them are saving money and running more efficiently because of it. Employees agree: nearly three-quarters say AI has boosted their productivity, and most also report higher job satisfaction.

So what’s the problem? Training hasn’t kept up. Only about half of small businesses actually train their employees to use AI. That means staff are either fumbling through on their own or avoiding the tools altogether.

At the Workplace AI Institute, our researchers found that employees who do receive AI training save an average of five hours every week by cutting repetitive tasks. Without training, those savings never happen – and AI’s potential goes to waste.

Why Training Matters More Than Ever

Right now, AI adoption feels uneven. Executives and tech-savvy workers are racing ahead, while frontline and newer employees often feel left behind. Some don’t trust AI. Others don’t think it applies to their role.

The truth is, without clear training and guidance, AI can create more stress than relief. Employees may input sensitive data without realizing the risks, or they may rely on AI outputs that are biased or flat-out wrong. That’s not just frustrating – it can expose small businesses to real financial and legal trouble.

Our research shows:

  • Only 37% of employees at small businesses feel confident in their AI skills.
  • More than half say they need more training.
  • 90% of employees who do receive training say it makes them better at their jobs.

That last number is the key. Employees aren’t resistant – they’re eager. They just need support.

As we often say at the Workplace AI Institute: “AI doesn’t replace people – it replaces tasks. But people still need to know which tasks to hand over, and how to check the results.” That’s exactly what training provides.

How Small Businesses Can Close the Gap

Training employees in AI doesn’t mean turning them into data scientists. It means showing them how to use the tools that fit their daily work – safely, confidently, and effectively.

The most successful training programs keep things simple:

Start with the basics. Employees should understand what AI can do, what it can’t, and how it applies to their role. A customer service rep doesn’t need a lecture on algorithms. They need to know how AI can draft a first response and when it still needs a human touch.

Make it hands-on. Theory won’t stick. Give staff time to try AI tools in real scenarios: drafting reports, generating customer insights, or summarizing meeting notes. Let them see the time savings for themselves.

Cover safety and judgment. Employees should know not to feed sensitive data into public tools, how to spot AI errors, and how to double-check results before acting on them.

Keep it ongoing. AI evolves too quickly for one-off workshops. Small refreshers, short modules, and peer learning groups help keep skills current.

That’s why businesses are increasingly turning to dedicated training providers. Global platforms exist, but the Workplace AI Institute focuses specifically on non-technical employees – the people most at risk of being left behind. Our courses are simple, practical, and tied directly to everyday tasks. We’ve designed them to be accessible to everyone, from entry-level staff to managers.

As our researchers put it: “The biggest productivity gains don’t come from the AI itself – they come from people who know how to use it well.”

Don’t Wait to Get Started

AI adoption among small businesses is already here. The question isn’t whether to use it – it’s whether your employees are ready. Without training, the gap between “AI haves” and “AI have-nots” will only grow wider.

If you’re an employer, now is the time to build an AI training plan for your team. If you’re an employee, don’t wait – start developing your AI skills today.

The Workplace AI Institute is striving to become the leader in AI courses for non-technical employees. Our programs are designed to make AI simple, safe, and useful in real-world jobs. Explore our full suite of courses here: https://workplaceaiinstitute.com/courses/.

AI isn’t slowing down. The sooner your team is trained, the sooner your business can turn curiosity into real results.
